The Challenge
The sales team juggled a generic CRM, a dialer and spreadsheets. Territories overlapped, follow-ups fell through cracks, and management lacked pipeline visibility.
What We Built
A custom CRM with territory-based routing, automated follow-up sequences, built-in calling with recordings, and live pipeline dashboards per team and rep.
Territory Routing
New leads are assigned automatically by region, industry and account size rules, so the right rep gets the right account immediately and overlaps disappear.
Follow-up Automation
Built-in sequences nudge reps with the next action and date after every touch, so no follow-up slips and every contact history stays in one timeline.
Calling and Recordings
Reps call directly from the CRM; calls and outcomes are logged against the account, recordings are attached, and managers can review quality without asking for notes.
Technical Approach
The system is built on a modern web stack with a REST API, role-based access per team, and data encrypted in transit and at rest. The calling integration works through a telephony provider, keeping call recordings and notes attached to the right account without manual filing. Permissions let reps see their book and managers roll up their team.
Security and Adoption
Field-level permissions protect sensitive account data, audit logs track edits, and the streamlined entry flow was designed so reps spend less time typing and more time selling. The existing contact list was migrated cleanly so teams started on day one with complete history.
The Result
One system replaced three. Reps halved their data entry time, and managers see pipeline health in real time.
Client Feedback
“Our reps finally have one place that remembers every touch and every email. Managers stopped asking for status updates — the dashboard already has them.” — Sales Director
